What is the purpose of this document? 

We believe it is important that visitors to the KNIME Website, members of the KNIME Community, clients of the KNIME Community Hub and KNIME Business Hub, participants in KNIME Events, and job applicants are informed about which personal data we process, when we process them, and for what purposes. The use of certain services we offer may require personal data. Personal data is processed only under certain circumstances and for specific purposes. Personal data means any information relating to an identified or identifiable natural person (e.g. name, address, telephone number, date of birth or email address). Hereinafter referred to as data.

We collect and process your data exclusively for specific purposes. The purpose, legal basis, and retention period details can be found below.

Website

Purpose: To provide and operate KNIME’s Website for visitors. 

Data: We process log-files for technical and security reasons. (IP address of the visitor, time stamp (date, time, time zone), location and name of the requested file, HTTP status code (e.g. file sent successfully, file not found), size of the requested file, web page which referred the visitor to our website) 

Legal basis: The basis for this data processing are legal obligations. (Art. 6 para. 1 lit. c GDPR)

Retention period: We retain your data for 60 days. 

Purpose: For enhancing the user experience of KNIME’s Website for visitors. 

Data: We process cookie and similar technology data, including cookie identifiers, truncated IP addresses, device and browser information, usage and interaction data, and information about your cookie preferences and consent choices. Where IP addresses are truncated, direct identification based on the IP address is excluded. The IP address provided by your browser will not be combined with other data we collect to identify you.

Legal basis: The basis for this data processing is consent. (Art. 6 para. 1 lit. a GDPR)

Retention period: We do not retain personal data. 

Processor: Where we process IP addresses related to enhancing user experience, we use Matomo as data processor. Where we process cookie and similar technology data, we use Amplitude, Inc. and Matomo as a data processor. The processing of data is governed by a data processing agreement (DPA) between KNIME and Amplitude, Inc. and Matomo which includes Controller-to-Processor Standard Contractual Clauses (SCC).

Contact Forms 

Purpose: To respond to inquiries from website visitors and others.

Data: We process the information you provided via the contact form to answer contact requests. (e.g. name, email address, message content, and any additional information provided) 

Legal basis: The basis for this data processing is based on Art. 6(1)(b) GDPR where your request relates to the initiation or performance of a contract, and otherwise on Art. 6(1)(f) GDPR based on our legitimate interest in handling inquiries and managing customer relationships

Retention period: We retain your data in our CRM-System for as long as necessary to process your request and to manage our ongoing communication, unless further retention is required for legal or contractual reasons.

Newsletters  

Purpose: To provide newsletter subscribers with a KNME newsletter.  

Data: We process data to subscribe to a newsletter. (contact details: first name, last name, email address; consent to the newsletter) 

Legal basis: The basis for this data processing is consent. (Art. 6 para. 1 lit. a GDPR)

Retention period: We retain your data in our CRM-System to process your request or until you withdraw your consent. 

KNIME Press Publications

Purpose: To provide readers with information on KNIME products. 

Data: We process contact data to answer requests (contact details: first name* (*mandatory), last name*, email address*; subject*; message*: content; consent to the newsletter*; country). 

Legal basis: The basis for this data processing is consent or performance of a contract where commercial offerings are concerned. (Art. 6 para. 1 lit. a GDPR or Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data in our CRM-System unless you withdraw your consent to the processing.

KNIME Analytics Platform (AP)

Purpose: To provide users the KNIME Analytics Platform, and to establish a lead relationship for product communications, onboarding resources, and marketing about KNIME. 

Data: We process contact data to provide you with our software (contact details: first name* (*mandatory), last name*, email address*).

Legal basis: The basis for this data processing is the performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until termination of the contract or until you withdraw your consent to receiving content and product updates. 

KNIME Single Sign On (SSO)

Purpose: To provide clients with an SSO to access the KNIME Community, the KNIME Community Hub, and/or KNIME Business Hub.

Data: We process contact data to provide you with a KNIME account (contact details: first name* (*mandatory), last name*, email address, company, username, password). 

Legal basis: The basis for this data processing is performance of a contract (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until termination of the contract.

KNIME Community

Purpose: To provide clients with a KNIME Community account, where clients can discuss KNIME products, interact and share insights. 

Data: We process contact data to provide you with the account (contact details: first name* (*mandatory), last name*, email address, company/affiliation, user ID, password) and data related to the functionalities of the Community (e.g., posts, chats/messages between members, uploaded content, reward points, event registrations, webinar data, usage metrics).

Legal basis: The basis for this data processing is performance of a contract (Art. 6 para. 1 lit. b GDPR).

Retention period: We retain your data until termination of the contract (closing of the user account).

Processor: We use CircleCo, Inc. as the data processor for the KNIME Community. The processing of data is governed by a data processing agreement (DPA) between KNIME and CircleCo, Inc., which includes Controller-to-Processor Standard Contractual Clauses (SCC).

Available without need to create a KNIME Account: KNIME Community can be accessed without the need to register. It is then read only. To actively participate in our community, you must register as a member (see KNIME Account). 

Use of AI Agent within the KNIME Community: The use of the AI Agent is voluntary. 

By using the chatbot, the member acknowledges and agrees to the following: Any information the member enters into the chat may be shared with CircleCo, Inc. and KNIME in order to provide and improve the service. KNIME is not responsible for any content, input or output, or actions resulting from the use of the AI agent and is not liable for any damages arising from or related to your use of the AI agent.

Community Points of Contact: If you have questions about the KNIME Community including specific questions about moderation actions, please contact us at community@knime.com. You can also reach out to the KNIME Community team directly via direct message. 

Moderation actions include reviewing content, rejecting or publishing content (such as posts), removal of spam, ensuring compliance with our KNIME Community Guideline and responding to alerts raised by members.  

If your post needs to go through moderation, please note that the moderation team may require up to five business days to conduct each review.

KNIME Community Hub (CHub)

Purpose: To provide clients with access to a specific KNIME CHub plan (Personal Plan, Pro Plan, Team Plan). 

Data for the Personal Plan: We process data necessary for the user accounts. (E-Mail* (*mandatory), Username*, First name, Last name, Company / Affiliation, User ID, Password) 

Data for the Pro Plan and Team Plan: We process data necessary for the user accounts. (Billing name, billing email address, address, postal code, city, country, payment information (card number, expiration date, CVC), subscription plan (users, disk storage), information related to execution services) 

Legal basis: The basis for this data processing is the performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until termination of the contract (closing of user account). 

Purpose: To provide safety on the KNIME CHub. 

Data: We process log-files for technical and security reasons. (user ID, password, IP address, file uploads, file downloads)

Legal basis: The basis for this data processing is legal obligations. (Art. 6 para. 1 lit. c GDPR)

Retention period: We retain your data for 60 days.

Purpose: To optimize user experience.

Data: We process pseudonymized log-files to create aggregated statistical data which are used to optimize the service provided to the users. Those statistical data do not tie back to the individual users. 

Legal basis: The basis for this data processing is legitimate interest. (Art. 6 para. 1 lit. f GDPR)

Retention period: We retain your data for 540 days. 

Purpose: To enhance user experience. 

Data: We process truncated IP addresses of website visitors. Direct personal reference is excluded. The IP address provided by your browser will not be consolidated with other data we collect.

Legal basis: The basis for this data processing is consent. (Art. 6 para. 1 lit. a GDPR)

Retention period: We do not retain personal data. 

Processor: Where we process IP addresses related to enhancing user experience, we use Matomo as data processors.

Purpose: To provide its services, to improve its services, for security reasons and compliance monitoring.

Data: We process usage data directly from users of our services, in aggregated and de-identified form (e.g., log files, telemetry, performance metrics, configuration data, license metrics, security-related events).

Legal basis: The processing of this data is necessary for the performance of a contract (Art. 6 para. 1 lit. b GDPR), for compliance with legal obligations (Art. 6 para. 1 lit. c GDPR), and for the purposes of our legitimate interests (Art. 6 para. 1 lit. f GDPR).

Retention period: We retain your usage data until completion of the contract and for the statutory storage period or is necessary for the investigation of security incidents or the establishment, exercise, or defense of legal claims.

Processor: We use Amplitude, Inc. as a data processor for usage data. The processing of data is governed by a data processing agreement (DPA) between KNIME and Amplitude, Inc. which includes Controller-to-Processor Standard Contractual Clauses (SCC).

Purpose: To help users to build workflows we provide an artificial intelligence driven assistant called K-AI. 

Data: We process query log (written out directly), user statistics (user’s community hub ID). 

Legal basis: The basis for this data processing is the performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until termination of the contract. (closing of user account) 

Processor: We use OpenAI, LLC as data processor for K-AI. The processing of data is governed by a data processing agreement (DPA) between KNIME and OpenAI, LLC which includes Controller-to-Processor Standard Contractual Clauses (SCC). 

Use of K-AI within the KNIME CHub account: The use of the K-AI is voluntary. By using this chatbot, the user acknowledges and agrees the following: Any information the user enters into the chat, as well as information about the workflow (being edited), may be shared with OpenAI and KNIME in order to provide and improve the service. KNIME is not responsible for any content, input or output, or actions triggered on the workflow, and is not liable for any damages arising from or related to your use of the chatbot.

KNIME Business Hub On-Premises

Purpose: To provide clients with a KNIME Business Hub license and account for deployments hosted on the client’s own infrastructure (on-premises).

Data: We process data necessary for the account and license (E-Mail* (*mandatory), Username*,First name, Last name, Company / Affiliation, User ID, Password; Billing name, billing email address, address, postal code, city, country, payment information (card number, expiration date, CVC), subscription/license plan (users, disk storage)).

Legal basis: The basis for this data processing is the performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until termination of the contract (closing of user account).

Purpose: To validate licenses and provide product support for the on-premises deployment.

Data: We process license and support data transmitted from the client’s self-hosted environment (e.g., license key validation calls, version and configuration information, support ticket content). Since the KNIME Business Hub on-premises instance runs within the client’s own infrastructure, KNIME does not otherwise process the log-files, IP addresses, or workflow content generated on that instance.

Legal basis: The processing of this data is necessary for the performance of a contract (Art. 6 para. 1 lit. b GDPR) and for the purposes of our legitimate interests in license compliance and product support (Art. 6 para. 1 lit. f GDPR).

Retention period: We retain your data until completion of the contract and for the statutory storage period.

KNIME Business Hub SaaS 

Purpose: To provide clients with a KNIME Business Hub account. 

Data: We process data necessary for the user accounts. (E-Mail* (*mandatory), Username*, First name, Last name, Company / Affiliation, User ID, Password) Billing name, billing email address, address, postal code, city, country, payment information (card number, expiration date, CVC), subscription plan (users, disk storage), information related to execution services) 

Legal basis: The basis for this data processing is the performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Data: We process data necessary to organize and administer your participation in KNIME events and online courses (contact details: first name, last name, email address; payment method: credit card details, PayPal details, Sofort details, Sepa Direct Debit; registration type, tax receipt information; qualification: Individual or business: name on tax receipt, address, city, postal code, country; ticket: Data Scientists (Basic): first name, last name, email address, job title, company; consent to KNIME’s General Terms and Conditions for Online Courses; information on how you got to know about the events or online courses:  KNIME website, KNIME email, KNIME partner, Work colleague / existing KNIME user, Facebook, X, XING, LinkedIn, Other; VAT ID confirmation: VAT ID, first name, last name / country name; consent to updates: KNIME newsletter, event operational emails).

Legal basis: The basis for this data processing is performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until completion of the contract and for the statutory storage period.

Processor: We use RingCentral as data processor for the registration process. The processing of data is governed by a data processing agreement (DPA) between KNIME and RingCentral which includes Controller-to-Processor Standard Contractual Clauses (SCC). Additionally, RingCentral is certified under the EU-U.S./Swiss-U.S. Data Privacy Framework.

KNIME Webinars (LinkedIn)

Purpose: To provide webinars and content to download. 

Data: We process data necessary for participants in our KNIME webinars and for downloading content (contact information: first name*, last name*, email address*, organization, job title, country; consent to updates: KNIME newsletter).

Legal basis: The basis for this data processing is performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until completion of the contract and for the statutory storage period.

Processor: We use LinkedIn Inc. as a data processor for the registration process. The processing of data is governed by a data processing agreement (DPA) between KNIME and LinkedIn which includes Controller-to-Processor Standard Contractual Clauses (SCC). Additionally, LinkedIn is certified under the EU-U.S./Swiss-U.S. Data Privacy Framework.

KNIME Webinars (Zoom)

Purpose: To provide our clients with webinars and content to download. 

Data: We process data necessary for our clients to participate in webinars and download content. (contact information: first name*, last name*, email address*, organization, job title, country; consent to updates: KNIME newsletter)

Legal basis: The basis for this data processing is performance of a contract. (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until completion of the contract and for the statutory storage period.

Processor: We use Zoom Video Communications, Inc. as a data processor for the registration process. The processing of data is governed by a data processing agreement (DPA) between KNIME and Zoom which includes Controller-to-Processor Standard Contractual Clauses (SCC). Additionally, Zoom is certified under the EU-U.S./Swiss-U.S. Data Privacy Framework.

KNIME Certificates

Purpose: To provide our clients with KNIME’s certificate. 

Data: We process your data for issuing a KNIME certificate. (contact information: first name, last name, email address; payment method: credit card details, PayPal details, Sofort details, Sepa Direct Debit; registration type, tax receipt information: qualification: Individual or business, name on tax receipt, address, city, postal code, country; Ticket: KNIME Certification: first name, last name, email address, job title, company; birthdate: month, day, year; consent to the KNIME Certification Program Terms and Conditions; certification customization: full name, place of birth; association with a KNIME Partner: yes, no; consent to updates: KNIME newsletter)

Legal basis: The legal basis for this data processing is performance of a contract (Art. 6 para. 1 lit. b GDPR)

Retention period: We retain your data until completion of the contract and for the statutory storage period.

Processor: We use LearnUpon Ltd. as a data processor for the registration process. The processing of data is governed by a processing agreement (DPA) between KNIME and LearnUpon, which is a Processor based in Ireland.  

Processor: We use Credly provided by NCS Pearson, Inc. as a data processor for the registration process. The processing of data is governed by a processing agreement (DPA) between KNIME and NCS Pearson, Inc. which includes Controller-to-Processor Standard Contractual Clauses (SCC). Additionally, NCS Pearson, Inc is certified under the EU-U.S./Swiss-U.S. Data Privacy Framework.

KNIME Direct Marketing

Purpose: To inform prospects and clients about our offers and services (direct marketing). 

Data: We process your data for direct marketing purposes. (contact information: first name, last name, email address; qualification: Individual or business; ticket: Data Scientists (Basic): first name, last name, email address, job title, company; information on how you got to know about the online course: KNIME website, KNIME email, KNIME partner, Work colleague / existing KNIME user, Facebook, X, XING, LinkedIn, Other; consent to updates: KNIME newsletter)

Legal basis: When you enter into a contractual relationship with KNIME we have a legitimate interest in informing you regularly about our offers and services. The legal basis for this data processing is legitimate interest. (Art. 6 para. 1 lit. f GDPR)

Retention period: We retain your data for 3 years in our CRM-System. (unless termination of the contract with KNIME or you object to KNIME’s direct marketing). 

KNIME Career: Form

Purpose: To provide applicants with an online job application form. 

Data: We process your data for job applications. (contact information: first name*, last name*, email address*, phone number; expected salary; profile*: resume (upload file); details*: cover letter) 

Legal basis: The basis for this data processing is consent. (Art. 6 para. 1 lit. a GDPR)

Retention period: We retain your data until we have processed your application or you withdraw your consent. Your data is erased after that.

Processor:  We use Personio SE & Co. KG as a data processor for the registration process. The processing of data is governed by a data processing agreement (DPA) between KNIME and Personio, which is a Processor based in Germany.

KNIME Career: Email

Purpose: To provide applicants with an email address for job applications.  

Data: We process your data for job applications. (contact information: first name*, last name*, email address*, phone number; expected salary; profile*: resume (upload file); details*: cover letter) 

Legal basis: The basis for this data processing is consent. (Art. 6 para. 1 lit. a GDPR)

Retention period: We retain your data until we have processed your application or you withdraw your consent. Your data is erased after that.

Processor:  We use Personio SE & Co. KG as a data processor for the registration process. The processing of data is governed by a data processing agreement (DPA) between KNIME and Personio, which is a Processor based in Germany.

Social Media Plugins

To integrate social media on our website we use social media plugins. Plugins are deactivated by default to prevent an automated transfer of personal data. By clicking the plugin, our users activate it and initiate the data transfer. Log-data (e.g. IP-address) are transferred via internet browser to the server of the respective plugin provider and if applicable saved. This server may be located outside the EU/EEA (e.g. in the US). 

How to block plugins: If you don’t want the data transfer between you and social media, you should log out of your social media before using our website. Additionally, you can activate the private mode of your browser in its privacy settings. A further step can be deactivating/restricting cookies in your browser settings. The loading of plugins can be completely prevented by using add-ons for your browser (so called script-blocker). 

KNIME’s control over data processing by social media plugins: Plugins are independent add-ons of the plugin provider. KNIME does not have any influence on the amount of data obtained and saved by the plugin provider. If one of the mentioned providers has installed a plugin on your device, they can log your browsing habits and create detailed user profiles by analyzing tracking data. Further information on the purpose and scope of the data processing of plugin providers as well on your rights and settings options to protect your personal data can be found in the privacy policies of the respective plugin providers.

Does KNIME disclose personal data to third parties?

In general, we only disclose your personal data to third parties insofar as we have a legitimate interest in doing so, it is necessary to perform the contract we have with you or if you have given your consent. Furthermore, your data may be disclosed to third parties insofar as we may be obliged to do so pursuant to legal provisions or an enforceable administrative or court order.

We use third party service providers for data processing. Service providers are generally involved as so-called Processors, who may only process the personal data of the visitor of our website, our clients or job applications in accordance with our instructions. For example, your contact details may be passed along to a service provider in order to give you access to a Webinar in which you requested participation.

Is personal data sent to recipients in a third country (outside Switzerland, the EU / EEA)?

We also provide personal data to third parties, respectively Processors, that are not based in Switzerland or the EU / EEA. In this case, we ensure prior to disclosure either that the recipient provides an adequate level of data protection (e.g.: on the basis of an official adequacy decision for the relevant country, the application of standard contractual clauses (SCC) of the European Union or the model contract of the Swiss Federal Data Protection and Information Commissioner (FDPIC) or that you have provided your consent.

What data protection rights do you have?

  • Right of access: Users have the right to request confirmation from KNIME as to which personal data concerning them is being processed and whether these data are being transmitted to a third country.
  • Right to rectification: Users have the right to request KNIME to correct any incorrect or incomplete personal data relating to them.
  • Right to erasure: Users have the right to request KNIME to erase promptly any personal data relating to them if these data are no longer necessary for the purposes for which they were collected or processed. The same applies if the data subject withdraws consent or objects to the processing in absence of an overriding legitimate interest of the controller or if these data are being unlawfully processed. The data subject may additionally execute this right in case where the controller is subject to a legal obligation to delete these personal data or when the personal data have been collected in the context of information society services.
  • Right to restriction of processing: Users have the right to request KNIME to restrict processing.
  • Right to portability: Users have the right to request KNIME to provide their data in a portable format.  
  • Right to withdraw consent: Users have the right at any time to withdraw their consent to the processing of any personal data relating to them for any specific purpose or purposes if that processing is based on their express consent. The withdrawal of consent will not affect the lawfulness for the processing on the basis of that consent carried out prior to the withdrawal of consent.
  • Right to object: Users have the right at any time to object to the processing of any personal data relating to them if the processing occurs on the basis of the legitimate interest of the controller or of a third party. Where personal data are processed for direct marketing purposes, users have an absolute right to object to such processing at any time.
